HR & payroll system hosting Kenya

Payroll that runs on time, on a server only HR can open

Host OrangeHRM, Frappe HR or your in-house payroll on a VPS with full root access. Salaries, bank details and statutory deductions stay on a server you control, and staff collect payslips from a self-service portal instead of an email thread.

VPS V3 KES 7,000/mo

Four cores let PHP-based HR and payroll generate payslip PDFs in parallel at month end. Its 16 GB of RAM also leaves room for Frappe HR or Odoo.

Payroll is quiet for three weeks and frantic for one

An HR system spends most of the month handling leave requests and attendance. Then payroll closes: overtime is approved, deductions are recalculated, hundreds of PDF payslips are generated and emailed, and bank and statutory files are exported, often on the same afternoon. That is the moment a cheap shared hosting account times out or a desktop install freezes, and the finance team ends up working late.

Kenyan payroll also changes more often than people expect. PAYE bands, NSSF tiers, SHIF and the Affordable Housing Levy have all been revised in recent years, and each change means updating software, re-running calculations and checking them. Having your own server lets your developer or vendor apply updates on your schedule, test them on a staging copy and keep last month's figures for comparison.

Payroll data is about as personal as it gets: ID numbers, KRA PINs, bank accounts, salaries and disciplinary notes. A VPS keeps that information off shared office machines and personal laptops. You decide who holds root access, which ports are open and where encrypted backups go, and HostingKE support can advise on sizing and server security when you plan the move.

The problem

What goes wrong with payroll hosting

Month-end timeouts

Generating several hundred payslips and emailing them in one request is the classic way to hit a PHP time limit. On a VPS you run that work through a queue with enough workers, so the run finishes and nobody refreshes the page in hope.

Statutory changes mid-year

When deduction rules change, you need to update the calculation, test it against known figures and roll it out before the next run. A staging copy on the same server lets you prove the numbers before staff see them.

Salaries visible to the wrong people

Payroll spreadsheets on shared drives get forwarded and copied. A hosted HR system with role-based access means line managers approve leave, HR sees contracts and only payroll officers see pay and bank details.

Payslips that never arrive

Bulk payslip emails from a busy shared server often land in spam or bounce. Sending through an authenticated mail service from your VPS, with SPF and DKIM set on your domain, gets them to staff inboxes.

What runs on it

HR and payroll software that runs on a VPS

Kenyan employers use a mix of open-source HR suites and locally written payroll engines. Here is what each expects from the server.

OrangeHRM

Open-source HR suite for employee records, leave, time and recruitment, written in PHP with MySQL or MariaDB. The open-source edition has no Kenyan payroll built in, so many firms pair it with a separate payroll tool.

Frappe HR

Open-source HR and payroll app on the Frappe Framework, with salary structures, salary slips and leave management. It needs Python, MariaDB, Redis and Node.js, and is happiest with several gigabytes of RAM.

Odoo

Odoo Community includes employee records and time off, while the Payroll app is part of the paid Enterprise edition. It runs on Python with PostgreSQL and benefits from multiple worker processes on a multi-core VPS.

Custom payroll

Many Kenyan companies run payroll written in Laravel, Django or .NET that encodes their own allowances and statutory rules. It typically needs a queue worker, a PDF library for payslips and a scheduler for month-end jobs.

Sizing

Size your server by headcount

Use the number of employees on the payroll, including casuals paid through the system. Month-end is the load that matters.

  1. 5–60 employees VPS V1 Fine for a small firm running OrangeHRM or a lean custom payroll in PHP. Payslips for a few dozen staff generate in minutes on a single core.
  2. 65–500 employees VPS V3 Four cores let PHP-based HR and payroll generate payslip PDFs in parallel at month end. Its 16 GB of RAM also leaves room for Frappe HR or Odoo.
  3. 505–2,500 employees VPS V4 Six cores and 24 GB of RAM carry Frappe HR, Odoo or a custom engine for a large workforce, with queue workers, a staging copy and years of payroll history on 480 GB of disk.
  4. 2,505+ employees VPS V5 Ten cores and 40 GB of RAM for group payroll across several companies, with attendance imports from biometric devices, reporting tools and heavy month-end runs side by side.

Use this as a starting point: real load depends on your software, how many payslips you generate in one run and how much attendance data you import.

Kenyan payroll realities

Four statutory deductions to keep current

Employers deduct PAYE, NSSF, SHIF and the Affordable Housing Levy, and the rules for each have changed in recent years. Your software must be easy to update, and a self-hosted system lets you test changes before the next run.

Employee data is protected by law

The Data Protection Act 2019 applies to the personal data you hold on staff, including ID numbers, KRA PINs and bank details. Limit access by role, log who views records and keep backups encrypted. Get specific advice on your obligations as a data controller.

Staff want payslips on their phones

Many employees, especially in the field or on shifts, never sit at a desk. A self-service portal reachable over HTTPS from a phone lets them download payslips, P9 forms and leave balances without queueing at the HR office.

Questions

HR & payroll systems: your questions, answered

Can I host OrangeHRM on a VPS in Kenya?
Yes. OrangeHRM needs a standard PHP, web server and MySQL or MariaDB stack, which you install with root access on any HostingKE VPS. A small company can start on VPS V1. Remember the open-source edition does not include Kenyan payroll, so you may need a separate payroll module.
Which VPS do I need for Frappe HR?
Frappe HR runs on the Frappe Framework with MariaDB, Redis, Node.js and background workers, so memory matters more than cores. VPS V2 with 8 GB of RAM is a sensible start for most companies. Large or multi-company setups should look at V4 or V5.
Does HostingKE calculate PAYE or file statutory returns?
No. We provide the server; your payroll software does the calculations and your payroll team or accountant handles filing. Keep your software updated whenever deduction rules change and check results against official guidance before paying staff.
Why does payroll slow down at month end?
Calculating every employee, generating a PDF payslip for each and sending emails is CPU-heavy work packed into a short window. Run it through a background queue with several workers on a multi-core VPS, and the rest of the system stays responsive while it completes.
Can employees access payslips from their phones?
If your HR software has a self-service portal, yes. Host it on your own subdomain with HTTPS, require individual logins and consider two-factor authentication. Staff then download payslips and request leave from any phone without HR emailing files around.
Can I import attendance from biometric clock-in devices?
Many fingerprint and face-recognition terminals can push or export attendance logs, and most HR systems can import them. A VPS gives you a public address the device or its sync tool can reach. Check which formats your device and software support.
