Property management hosting Kenya

Rent lands in the paybill. Your system should match it in seconds.

Host your tenant portal, rent ledger and landlord statements on a VPS with full root access. M-Pesa confirmations reach a public HTTPS address, receipts go out automatically, and the end-of-month rush no longer depends on one laptop in the office.

The rent cycle in Kenya runs on paybill account numbers

Most Kenyan tenants pay rent by M-Pesa to a paybill, typing a house or unit number as the account reference. When that reference is mistyped, or a tenant pays from a relative's phone, someone in the office spends hours matching payments by hand. A property system that receives Daraja C2B confirmations directly can post most payments to the right unit as they arrive and leave only the odd ones for a person to review.

That only works if the system lives on a server Safaricom can reach. C2B confirmation and validation URLs must be public and served over HTTPS, which rules out software running on an office PC behind a home router. A VPS gives the application a fixed address, a proper certificate and enough processing power to handle the first five days of the month, when most of the year's traffic arrives at once.

Rent is only part of the job. Agencies bill water by meter reading, track service charge and deposits, raise penalties for late payment and send each landlord a monthly statement with commission deducted. Whether that runs on a custom Laravel or Django app, ERPNext or Odoo, a HostingKE VPS gives you root access to install it, and our support team can help with server sizing and DNS.

The problem

Where rent management systems fall over

Payments with the wrong account number

Tenants type "B4", "b-4" or their own name as the reference. Your system needs the raw M-Pesa callback data, phone number included, to suggest matches and keep an unallocated queue the accounts clerk can clear in minutes.

The first-of-the-month surge

Hundreds of tenants pay within a few days, receipts are generated, SMS confirmations go out and landlords ask for balances. A shared hosting account that is fine on the fifteenth can stall exactly when collections matter most.

Landlord statements built in Excel

Copying collections into a spreadsheet for each landlord invites errors and disputes. A hosted system can generate statements with rent, water, commission and expenses per property, and let owners download them from a portal.

Tenant ID numbers in plain sight

Lease files hold national ID numbers, KRA PINs and phone numbers. Keeping them on a locked-down server with individual logins and encrypted backups is safer than folders on shared office computers and personal email.

What runs on it

Software property managers run on a VPS

There is no single standard package in Kenya, so most agencies run a custom build or adapt a business platform. These are the common choices.

Custom Laravel app

The most common route for Kenyan agencies. Needs PHP-FPM, MySQL or PostgreSQL, a queue worker for M-Pesa callbacks and SMS, and a scheduler for monthly invoicing and penalty runs.

Custom Django app

Popular with teams that also do data work. Runs under Gunicorn behind Nginx with PostgreSQL, and usually Celery with Redis for background jobs such as statement generation and reminder messages.

ERPNext (Frappe)

Open-source ERP with accounting, customers and recurring invoices. Agencies extend it with custom doctypes or community apps for leases and units. It needs MariaDB, Redis and Node.js, so plan for at least several gigabytes of RAM.

Odoo Community

Open-source business suite with invoicing and accounting that some agencies adapt for rent billing through custom modules. Runs on Python with PostgreSQL and benefits from multiple worker processes on a multi-core server.

Metabase

Open-source reporting tool that connects to your property database and builds dashboards for arrears, occupancy and collections per estate. It runs on Java, so give it its own memory headroom.

Sizing

Pick a plan by units under management

Count every rentable unit your system tracks, including bedsitters, shops and parking bays that get their own invoice.

  1. 10–300 units VPS V1 A small agency or a single landlord running a lean PHP app with MySQL. Enough to receive paybill callbacks, issue receipts and produce a few statements each month.
  2. 310–2,000 units VPS V2 Its 8 GB of RAM fits ERPNext or Odoo comfortably, or a custom app with Redis queues, reporting and a tenant portal that sees heavy use in the first week of the month.
  3. 2,010–6,000 units VPS V4 Six cores and 480 GB of disk for a large agency with many estates, scanned leases, meter photos and parallel workers generating invoices and landlord statements at month end.
  4. 6,010+ units VPS V5 Ten cores and 40 GB of RAM for a portfolio across several towns, running the main system, a reporting tool and separate staging copies on one server.

This is a starting point: actual load depends on how many tenants use the portal, how often reports run and how many documents you store.

Built for Kenya

Kenyan details your property system should handle

Daraja needs a public HTTPS address

Safaricom posts C2B confirmations to a URL you register, and that URL must be reachable from the internet over HTTPS. A VPS with your own domain and certificate meets that requirement, unlike a server in the office behind a dynamic IP.

Landlords file rental income tax

Resident landlords are generally required to declare rental income to KRA. Clear monthly statements showing gross rent collected, commission and expenses per property make that easier for owners and their accountants. Tax treatment varies, so leave the advice to a tax professional.

Tenant records are personal data

ID copies, phone numbers and payment histories fall under the Data Protection Act 2019. Limit who can see them, avoid sharing lease files over WhatsApp groups and keep backups encrypted on storage that you control.

Questions

Property & rent management: your questions, answered

Can my system match M-Pesa rent payments automatically?
Yes, if it receives Daraja C2B confirmations. Each callback includes the amount, the account reference the tenant typed and the paying phone number. Your app matches the reference to a unit, posts the payment and flags anything it cannot match for a clerk to allocate by hand.
Why can my property system not run on an office computer?
It can for internal work, but Safaricom must reach your callback URL over HTTPS from the internet. Office connections usually have changing IP addresses and no certificate, and the PC goes down with the power. A VPS gives you a fixed public address that is always on.
Does a VPS support water billing and service charge?
The server runs whatever your software supports. Most custom builds and ERP setups handle meter readings, per-unit tariffs and service charge as extra invoice lines. The VPS just needs enough room for the database and any meter photos your caretakers upload.
How many units can VPS V1 handle?
A lean PHP application with MySQL can manage a few hundred units on V1 comfortably. If you use ERPNext or Odoo, or expect heavy portal use, start on VPS V2 for its 8 GB of RAM. You can move to a larger plan as the portfolio grows.
Can landlords log in to see their own statements?
That depends on your software, but most property systems support owner accounts restricted to their own buildings. Host it on your VPS under your agency domain, enforce strong passwords, and make sure owners can only see their properties and tenants.
Can I send SMS rent reminders from the server?
Yes. Your application calls an SMS provider's API from the VPS on a schedule, for example three days before rent is due and again after the grace period. Run those jobs through a queue so a slow SMS gateway does not hold up the rest of the system.
